Send the complete drawing set

Include electrical plans, one-lines, panel schedules, lighting and control schedules, specifications, addenda, bid forms, and the current construction schedule. Architectural, mechanical, and reflected ceiling plans also help identify equipment connections, ceiling coordination, and work by other trades. State which revision governs the bid.

Define who supplies and installs each system

Clarify owner-furnished equipment, temporary power, service changes, devices, fixtures, controls, communications, security, fire alarm, and other low-voltage systems. The bid should distinguish pathway work from cable, device, programming, testing, and final system integration where different parties are responsible.

Describe the operating site

For renovation or industrial work, identify existing panels and available documents, occupied areas, shutdown windows, work-hour limits, access equipment, protection requirements, and any areas that cannot be interrupted. A site walk or clear existing-condition photos can be as useful as a plan note when tie-ins are involved.

Make the bid comparable

Provide a due date, alternates, allowances, schedule milestones, and the form in which the owner or GC wants pricing. Ask bidders to list scope assumptions and exclusions in plain language. That makes proposals easier to compare and gives the project team a better starting point for award and coordination.
